UKG/ KRONOS & Employee Self Service

Kronos /UKG Dimensions is the online human resources workforce management system that employees use for a variety of housekeeping tasks, including requesting time off, punching in and out, transferring to alternate department/job code, reviewing timecards, and setting up services like direct deposit.  You will find a link to Kronos at the bottom of every employee portal page. Although we tend to call it Kronos out of habit, Kronos was bought by UKG, which is why you see both names.

Kronos, like most of our platforms, now requires you to enroll in multifactor authentication in order to access it. Learn more here.

General Information:

Employees who work on a company network computer: Use Single Sign On, or the same username and password that you use to log in to your computer.

Employees who don’t use a company network computer: Use the same log in information that you would use for Kronos, the benefits site, or Smart Recruiters.

Employees who have never used any company applications and don’t have a network computer: Use your employee id for the user name and the password is your birthday and last four digits of your social security number to log into Kronos. (Example: mmddyyyy). You will be prompted to change your password and then you can access Kronos and Empyrean (benefits portal) with same username and password. For the Employee portal, you will use youremployeeid#@aspensnowmass.com as your username and your Kronos password. You can also direct-link to the portal from the tile on the front page of Kronos.

Employees who would prefer to use an app on their phone. Go to your app store,  search for UKG Pro App, and download. While some functionality is slightly different than the web version, much is the same. You’ll find “Getting Started with your Mobile Device” directions on the right.

Seasonally separated or inactive employees should still be able to access Kronos in the same way they do during the season. Contact It Support if you can’t get in.

Terminated employees should  follow these directions for how to access Kronos in your off-season. If you’ve got a question, contact HR. (updated 6/1/22)

Kronos has a new MY PAY section to ease navigation for employees trying to review pay statements on the web and mobile app. IOS users need to enable “Allow Cross-Website Tracking for the UKG Dimensions App” to use it on their phone.  Android users do not need to take extra action. More information is available on accessing this new feature under the Getting Started on Mobile Employee directions in the right column.  

All company-wide emails and important announcements are sent to the primary email listed in your Kronos account. If you have an aspensnowmass.com email address, you cannot change the primary email address where email is delivered. Kronos will automatically revert to your aspensnowmass.com account at this time.  

  • If you do not have an outlook box to check for your aspensnowmass.com email, you can check your emails by going to www.outlook.com and signing in with your company email and the password you use for Kronos. There you can view all emails sent to that address or work with IT to forward these emails to whichever email address you’d prefer.
  • If you would like to disable your aspensnowmass.com account, submit a request to disable this email with your manager, who will decide and then submit the request to IT.
  • New! Kronos rolled out a new homepage look. The main change employees need to know is that the tile menu (how you choose which tiles appear on the home page) is now accessible via a pencil icon at the bottom of the page vs. formerly the gear icon in the top right corner. 
  • To Log out of Kronos website: click the 3 horizontal bars in the top left. A side column will pop out and you’ll see the log out option.
  • Many users, one computer: If many people use the same computer, consider using an “incognito” web browser when you log in. Be sure to log out when you are done.
  • Head right to the Employee Portal or Smart Recruiters from Kronos! On the Kronos Home page, look for the portal tile in the top right corner.  
  • If you need to change an email address or other personal information, see directions below under Change your Personal Information.
  • If you are a new salaried employee and need to be added to the Salaried list to receive Long View newsletters and Manager Information Meeting invitations, email [email protected].

On a computer:

To change your personal information on Kronos/UKG on a computer, follow these instructions:

  • Go to the Kronos website.
  • Choose top left tile: Kronos Self Service.
  • On left column under links, choose HR Actions
  • On top left, choose “Available HR Actions”
  • Scroll to Personal Information Update and click Start on the RIGHT side of the page
  • In this screen, you will be able to change your information.
  • Make sure you hit save and then Submit (top or bottom right buttons) when finished.

On the mobile app:

To change personal information, such as a phone number, mailing address, or email on the mobile app, follow these steps:

  • In the Kronos App on your phone, choose Kronos HR.
  • Go to the 3 bars (pancake) on top left.
  • Choose Administration then HCM Setup.
  • Click Start, then choose Self Service.
  • Scroll down to the links section and choose HR Actions.
  • Click Available in upper left, then scroll down to Personal Information Update. Click start and you should be able to edit your personal information. Be sure to click submit when you’re done.
